Materials, dimensions, packaging and processes can change during a product lifecycle. A written notification gives the buyer enough time to assess whether the change needs documents, a new sample, testing or updated artwork.
Define Which Changes Need Notice
The agreement should cover surface, core, backsheet, adhesive, elastic, dimensions, supplier-managed components, pack film, printing, carton data and key process adjustments. The list should match the actual product.
Require a Clear Before-and-After Description
A notice should identify the affected SKU, current specification, proposed specification, reason, planned effective date and available evidence. General phrases such as material optimization are not enough for buyer review.
Set the Review Path by Impact
A visual pack adjustment may require a proof, while a product-contact material or construction change may require samples and the buyer test matrix. The buyer decides the evidence needed for approval.
Protect Production and Inventory Timing
Record whether old and new versions may coexist, how cartons will be identified and which purchase order receives the change. Coordinate artwork, inventory and receiving teams before the effective shipment.
Close With a Revised Baseline
After approval, update the specification, sample code, artwork file and inspection references. Retain the old version so future questions can be traced to the correct production period.
