Define the Baseline Package
Keep the signed specification, approved sample code, retained finished samples, packaging proofs and final order details together. Identify the production batch represented by the retained sample. If separate samples were approved for product, individual wrap and retail pack, list each reference rather than treating them as one item.
Record Product Characteristics
For sanitary pads, the baseline may include length, width, wing shape, topsheet direction, core structure, backsheet, adhesive layout, release paper and folded dimensions. For menstrual pants, include size measurements, waistband and side construction, absorbent-body position, leg gathers, materials and packed dimensions. Use agreed review methods and cautious sample-based observations.
Confirm Artwork and Packing Versions
Attach the approved retail pack, wrapper and carton-mark versions. Confirm pack count, assortment, barcode and variable-data method. A repeat product can still require artwork reapproval when the market language, importer information or pack format changes.
Ask for a Change Declaration
Before the next run, ask the supplier to confirm whether materials, dimensions, construction, artwork or packing methods changed. When a proposed change could affect the approved result, request a coded comparison sample and document the decision. Supply availability or cost pressure should not silently replace the buyer's reference.
