Pre-Shipment Inspection Checklist for Sanitary Pads and Menstrual Pants
2026-07-16

A pre-shipment inspection gives buyers a final documented comparison between finished sanitary pads or menstrual pants and the approved order. The inspection plan should be agreed before production ends and should reference the purchase order, accepted sample, specification, artwork and packing table. It is a sampling activity, so findings should be reported with method and scope.
Confirm Order Identity
Check supplier name, buyer item code, product description, size or length, order quantity, purchase-order number and production or batch reference. Separate each SKU and packaging version in the inspection record.
Verify the Reference Set
Use the accepted physical sample or documented reference, final specification, approved artwork and packing instructions. If the reference sample is unavailable, record the replacement basis and obtain buyer agreement before making decisions.
Select Samples Transparently
Record carton locations, number of cartons opened and units reviewed. Sampling level and acceptance criteria should reflect the buyer's risk policy and any agreed inspection standard. Do not present a limited sample as a check of every unit.
Review Product Appearance
Inspect folding, surface cleanliness, shape, sealing, elastic, adhesive or seam consistency and visible material placement. For sanitary pads, include wings, release paper and wrapper. For menstrual pants, include waistband, leg openings, side seams and orientation marks.
Check Measurements and Weight
Use calibrated equipment and an agreed method for length, width, product weight or other specified dimensions. Record individual results and the accepted range. Keep informal estimates separate from specification checks.
Review Functional Checks
Perform only methods agreed for the order, such as opening, fit-related construction review, adhesive handling or absorbency-related internal checks. Record conditions and results in cautious language. Escalate unexpected variation for investigation rather than drawing a broad conclusion from one unit.
Inspect Retail Packaging
Check artwork version, language, barcode or item code, size, piece count, seals and print alignment. Compare actual contents with visible pack statements. Open several packs from different cartons.
Verify Cartons and Shipping Marks
Review carton quantity, dimensions, weight fields, marks and carton numbering. Confirm that SKU and size identification are consistent across retail packs and cartons. Photograph representative closed and opened cartons.
Close Findings Before Release
Classify findings according to the agreed plan, record evidence and assign corrective actions. Shipment release should follow the buyer's approval process. Preserve the report, photos, reference documents and any reinspection results for repeat orders.
